How Do I Make a Submission?

Once you have entered all your data, it can be sent to the NHSBSA.

Check Data

med data dm+d performs an automated, electronic check of the data to check that all the mandatory fields are complete. It does not check the actual content of the submission.

You will be prompted at the bottom of the screen, under the 'actions' section, whether there is any missing or incorrect data. Each section that has a red asterix (*) against it must be completed in order to progress the submission.

When all the required data is entered, your submission is ready for authorisation.

Ready for Authorisation

When your data has been checked, click "Ready for Authorisation".

You will now see a summary of your submission. This can be exported into Excel or printed. If your submission details are correct, click Proceed.

If you notice an error, still click Proceed, but then copy this submission, correct the information and cancel the original.

Your submission will move to the next stage of the process and is ready to be sent to the NHSBSA. Your submission cannot be changed at this stage.

Authorise a Submission

A submission can only be sent to the NHSBSA once it has been made Ready for Authorisation.

It can only be authorised by a Data Manager with "authorise" privileges (level 2).

Find your submission by selecting the Home page and then the Active tab. The middle section of the screen shows the submissions awaiting company authorisation.

Each submission has various Options:

  • Authorise - authorise the submission to be sent to the NHSBSA
  • Cancel - cancel the submission and do not send it to the NHSBSA
  • Copy - copy all the submission data to create a new submission of the same type
  • View - view the data prior to authorisation

Select the appropriate Option and then click Go.

Once you have authorised the submission it will move to the lower section of the Active screen to Submissions Being Processed.

Please note 📝

Before authorising a submission, we strongly suggest you view the submission, particularly if someone else has collated the data for you. Once the submission has been sent to the NHSBSA, the data can only be changed by cancelling the submission and then re-submitting it.
